Describe constraints
List users, data, integrations and possible failures. A contact form and a financial record application have different requirements. Separate essential capabilities from those that can wait, keeping the pilot focused enough to inspect meaningfully.
Test access rules
Create realistic roles and verify what each can read or change. Default settings are not a security assessment. Exercise access removal and a data correction with the person responsible, documenting the expected and observed behaviour.
Investigate technical limits
Review quotas, performance, extensions and costs as usage grows. An integration that succeeds once can fail under real volume. Plan explicit behaviour for delays and errors instead of silently presenting success when work was not completed.
Test an exit
Export data and attachments in reusable formats. Identify what remains proprietary, such as logic, components or history. Estimate migration effort and assign a maintenance owner before declaring the project handed over.
